SITEKEEPER covers the paved lot and the site around it: a desktop screening and a walked survey for the pavement, and photo inspections for the roofs, building envelope and site features. One register, one capital plan and one export for all of it.

Pavement

  • Desktop screening

Every lot rated 1 to 5 from each year of open aerial imagery that covers it, with the survey priority. No site visit.

    The rating method

  • Field survey (ASTM D6433)

A walked Pavement Condition Index survey by sample units, with photo evidence and an engineer’s sign-off, for the lots that need one.

    How it works

Site assets, from photos

Each asset is photographed on site, by your property staff or by Avok, with SITEKEEPER on a phone. A person rates it from the photos. Each asset is coded to its UNIFORMAT II element (ASTM E1557), so the register fits a property condition assessment, a reserve study or a capital plan.

Roofs are photographed from a safe place: the edge from a ladder, a roof hatch, or a drone flown by a licensed pilot.

  • Roofs

    UNIFORMAT II B3010, B3020

Roof coverings and flashings, gutters and roof drains, skylights and hatches.

Ponding, blisters, open seams, flashing, punctures, blocked drains.

  • Building envelope

    UNIFORMAT II B2010, B2020, B2030

Exterior walls and cladding, windows and storefronts, exterior and overhead doors.

Cracks, spalling, failed sealant, broken or fogged glazing, damaged doors.

  • Site lighting

    UNIFORMAT II G4020

Light poles with their bases and fixtures, and wall-mounted lights.

Leaning poles, cracked bases, corrosion, damaged fixtures, exposed wiring.

  • Signs, fences and furnishings

    UNIFORMAT II G2040

Signs, fences and gates, retaining walls, bollards, benches and bike racks.

Faded or damaged signs, leaning fences, failed gates, bulging walls.

  • Walkways, curbs and barriers

    UNIFORMAT II G2030, G2020

Sidewalks, steps and ramps; curbs, wheel stops and barriers. Pavement surfaces are rated by the screening and the field survey.

Trip hazards, settled panels, cracked or missing curbs and wheel stops.

  • Storm drainage

    UNIFORMAT II G3030

Catch basins, manholes, trench drains, ditches and culverts.

Blocked or broken grates, settled frames, sediment.

  • Landscaping

    UNIFORMAT II G2050

Planted and grassed areas, and trees.

Dead plants, erosion, overgrowth over lights and signs, hazardous trees.

How a photo inspection works

  1. List the assets

Each asset gets its kind, its UNIFORMAT II element, a quantity, the year it was installed and, if you have it, what it would cost to replace.

  2. Photograph them on site

An overview of each asset and a close-up of each defect. Faces and licence plates are pixelated on the phone before upload, and location and camera details are removed from the stored files.

  3. Rate them

The assessor records each defect with its severity and any safety concern, then rates the asset 1 to 5 and gives its remaining life and the work it needs, with a year and a cost.

  4. Plan the work

The register gives condition by category, a ten-year capital plan and the Facility Condition Index, now and over five years. A report per site carries the photos and findings.

One written scale for every asset

Five steps that read as good, fair and poor in ASTM E2018 terms. The colours share nothing with the pavement scales, so a roof rating cannot pass for a pavement rating.

  1. Very good · 5 of 5

New or as new. No visible defects. (ASTM E2018 good)

  2. Good · 4 of 5

Minor wear only. Performing as intended with routine maintenance. (ASTM E2018 good)

  3. Fair · 3 of 5

Visible wear or isolated defects. Still performing, but repairs are needed within a few years. (ASTM E2018 fair)

  4. Poor · 2 of 5

Widespread or serious defects. Performance is affected: repair or replace it soon. (ASTM E2018 poor)

  5. Very poor · 1 of 5

Failed, failing or unsafe. Needs action now. (ASTM E2018 poor)

What you get

  • An asset register for each site and for the portfolio, worst condition first.
  • A capital plan by year and category: the recommended work, and each asset’s renewal at the end of its remaining life.
  • The Facility Condition Index: cost of the work due ÷ replacement value, now and over five years.
  • A PDF report per site with every asset, its photos, defects and recommended work.
  • CSV and GeoJSON exports with UNIFORMAT II codes, in the full export of your data.

What it is not

  • Not a rating made by software. A person rates every asset from its photos, and the record says whether it was Avok staff or your own.
  • Not an intrusive inspection. Nothing is opened, tested or measured, so hidden conditions are not covered.
  • Not, on its own, a property condition assessment under ASTM E2018 or an engineering report.
  • No assumed costs or lives: an asset without a replacement cost is left out of the FCI, and work without a cost is shown as not priced.
